Auckland Unlimited (AUL) is a newly created council-controlled organisation (CCO) established with an important mandate to drive investment, supporting Tāmaki Makaurau Auckland businesses to innovate and thrive, enhancing Auckland as a culturally vibrant city, telling the Tāmaki Makaurau story, and importantly providing experiences and opportunities for all.


We are looking for a Business Services Lead to join the Major and Business Events team and assist in providing excellence in senior administration and business planning, operational oversight and leadership as needed for critical business services and/or projects.


This is a fantastic opportunity for a highly motivated and proactive Business Services Lead, with proven experience in a similarly challenging role, to join a dynamic area of the business. This includes:


  • Provide executive support for Head of Major and Business Events including schedule and inbox management.
  • Undertake full range of administrative and organisational tasks including team organisation, organising meetings, minute taking and reporting, and assisting with preparation of presentations and reports.
  • Coordination of core reporting and business planning processes across the team, and in conjunction with organisational requirements and timeframes.
  • Management of monthly Group meetings including development of relevant meeting content, invited external contributors and updates on key projects from team members.
  • Contribute to team culture and develop processes and activities to enhance culture across the Group.
  • Workloads managed ensuring that deadlines are met and to a professional standard
  • Participate and coordinate projects or initiatives to improve operational processes and business systems
  • Train and coach team members to ensure skills and experience reflect the highest levels of service to all internal and external stakeholders
  • Encourage an environment where open communication is encouraged and teamwork is a key to success
  • Ensure team members are prepared and equipped with appropriate skills and tools as business demands change
  • Project management supporting the leadership team with relevant recruitment and onboarding processes.
  • Ensure that onboarding processes relevant and understood by hiring managers
  • Work with business partners (ICT, Finance and People) to understand end to end process and ensure that systems in place.
  • Support business managers to embed workforce management principles
  • Proactively manage constructive and positive relationships across Auckland Unlimited and Auckland Council with business partners and Corporate support functions
  • Utilise effective conflict resolution and relationship management skills, able to negotiate without compromising key objectives, keeps outcomes in mind

You will have strong time management and work prioritisation skills, with the ability to anticipate potential issues and make sound judgement calls.

  • Previous experience supporting a senior executive and/or management team.
  • Understanding of business planning processes and strong project management experience.
  • Able to demonstrate implementing continuous improvement principles in a work team or leading a process or system change
  • Proven experience in managing multi-faceted, complex and multi-stakeholder projects
  • Effective analytical skills able to identify and define problems, provide resolution and make decisions through the exercise of sound and appropriate judgement
  • Excellent organisational skills, with the ability to complete work accurately and comprehensively, with attention to detail
  • Demonstrated ability to effectively manage conflicting demands, whilst working under pressure and with time constraints
  • Must be resilient and have the ability to work in a high-pressure, ever-changing environment
  • Excellent interpersonal skills and the ability to establish and maintain professional relationships
