He angitūtanga: The opportunity

 

An opportunity has arisen within the Tāmaki Makaurau Design Office (TMDO) for an Urban Design Panels Analyst to support the effective delivery and ongoing improvement of the Design Review Panels programme.

Reporting to the Design Review Panels Lead, this role is responsible for the coordination and administration of the Design Review Panels, with a particular focus on the Auckland Urban Development Office Dedicated Panels. You will support end‑to‑end panel processes, including managing schedules and bookings, coordinating panel meetings, engaging with applicants and panel members, supporting the preparation of panel minutes and recommendations, and coordinating panel feedback.

 

You will also work closely with business support colleagues to organise purchase orders and support programme budget monitoring. In addition, the role contributes to the promotion and visibility of the Panels programme, using research, reporting, graphic, and presentation skills to support communication and publicity activities.

 

This role requires strong organisation, sound judgement, and the ability to manage multiple workstreams. You will work across council departments, Council‑Controlled Organisations, governance representatives, and professional panel members to support the consistent and professional operation of the Panels programme.

 

Key responsibilities

 

  • Coordinate and administer Design Review Panel meetings and programmes
  • Manage schedules, bookings, and stakeholder communications
  • Support the drafting and distribution of panel minutes, recommendations, and feedback
  • Maintain accurate programme data, records, and reporting
  • Support research, analysis, and promotional activities for the Panels programme
  • Provide professional support to designers, planners, and applicants engaging with the panels

You will be an organised and capable professional with experience supporting programmes or projects in a complex organisational environment. You are comfortable working with a level of autonomy, applying judgement, and managing competing priorities.

 

You will bring:

 

  • Experience in programme, project, or operational coordination roles
  • Confidence preparing professional documentation, including meeting minutes and reports
  • Strong organisational skills and attention to detail
  • Well‑developed interpersonal skills and the ability to build effective working relationships
  • Clear written and verbal communication skills, including the use of basic te reo Māori
  • Proficiency in Microsoft Office and Adobe software

 

A tertiary qualification in a built‑environment‑related discipline such as Urban Design, Planning, Landscape Architecture, or Architecture is desirable.
