We’re looking for a proactive and highly organised Senior Administrator to join our Shared Support Services team on a 6-month fixed term basis, providing dedicated support to the Sport and Recreation Grants programme within Tākaro, Hākinakina mō te Rēhia Play, Sport and Recreation.
This is a varied and fast paced role where you’ll play a key part in supporting the smooth delivery of grant programmes that help communities across Tāmaki Makaurau access sport and recreation opportunities.
You’ll be the operational backbone of the team — managing communications, coordinating meetings and workshops, supporting financial processes, and maintaining the systems, records, and reporting that keep the programme running effectively.
Key responsibilities include:
• Managing and triaging the shared inbox, ensuring timely and professional responses
• Coordinating meetings, workshops, venues, catering, agendas, and logistics
• Preparing, formatting, proofreading, and maintaining business documents and templates
• Maintaining filing systems, databases, records, and archives, including SmartyGrants
• Supporting financial administration including vendor management, invoice processing, goods receipting, and payment tracking through SAP
• Maintaining grant expenditure and budget trackers
• Producing programme updates, reports, and maintaining risk, decision, and action registers
• Supporting continuous improvement initiatives and contributing ideas to improve team processes
• Providing high quality administrative support while managing competing priorities and sensitive information with professionalism and confidentiality

You’re someone who enjoys keeping things organised, takes pride in delivering high quality work, and can confidently manage a wide range of administrative tasks in a busy environment.
You’ll bring:
• Strong administration, coordination, or project support experience within a professional environment
• Excellent communication skills and the ability to build positive working relationships
• Strong attention to detail and time management skills
• Confidence working across Microsoft Office Suite and digital systems
• Experience managing financial administration and reporting tasks
• The ability to work independently while remaining collaborative and adaptable
• Experience with SAP or similar financial systems would be advantageous
• Experience within local or central government environments would be beneficial
