He angitūtanga: The opportunity

 

 

Auckland Council’s Health, Safety and Wellbeing Team is excited to offer a permanent full-time opportunity to join our close-knit team as a Health, Safety and Wellbeing Coordinator. This is a hybrid role (3x days in the office.

 

This role will support the wider HSW team with case triage, document management, project support, training coordination, communications coordination and general administration to help continuously improve health, safety and wellbeing outcomes for Auckland Council and our kaimahi.

 

This is a varied and fast-paced coordination role where no two days will be the same. You will play an important part in ensuring our systems, processes, training records, documentation and communications are well managed, accurate and easy for our people to access and use.

 

You will be a key point of support for the HSW team, helping to triage internal requests, coordinate workshops and training logistics, maintain document libraries, support HSW campaigns, process purchase orders and invoices, and assist with HSW projects, initiatives, team events and internal audits.

 

 

The remuneration range for this role is $65,000 - $75,000 depending on experience and skillset.  Auckland Council's KiwiSaver contribution is additional to base salary.

Ngā kawenga matua: Key responsibilities

 

 

You will be highly organised, proactive and detail-focused, with a passion for supporting health, safety and wellbeing outcomes for our kaimahi and communities. You will bring strong coordination, communication and administration skills, and be confident working across systems, stakeholders and competing priorities.

 

Day to day you can expect to work on:

 

  • Triaging HSW cases and requests received through internal support systems and inboxes, providing basic advice or resolution where appropriate and escalating to the HSW team as needed.

 

  • Coordinating HSW training and workshops, including room bookings, resources, equipment, course materials and participant communications.

 

  • Maintaining accurate HSW training records and additional responsibilities records, including health and safety representatives, wellbeing ambassadors, first aiders and floor wardens.

 

  • Coordinating the HSW document library, including assigning document identification numbers, publishing documents in a consistent format and monitoring document review dates.

 

  • Editing HSW documentation, tools and resources to ensure they are accessible, user-friendly and aligned to Auckland Council’s look and feel.

 

  • Supporting HSW communications and internal marketing, including keeping online HSW channels up to date and coordinating messaging across the business.

 

  • Supporting HSW campaigns, projects, initiatives, internal audits, team days, events and presentations.

 

  • Raising purchase orders, processing invoices and supporting the HSW team with accounts payable requirements.

 

 

He kōrero mōu: About you 

 

You are a confident coordinator or administrator who enjoys working in a busy, people-focused environment. You bring a strong eye for detail, high-quality expectations and the ability to turn information into clear, accessible and helpful formats for different audiences.

 

You will be comfortable managing multiple priorities, solving problems, improving processes and building effective relationships across a range of stakeholders. You are adaptable, resilient and able to work autonomously while contributing positively to a collaborative team environment.

 

Your communication skills will be a strength, both written and verbal, and you will be confident using digital tools and systems to support accurate records, effective coordination and smooth delivery of team activities.

 

We will be looking for specific experience:

 

  • Tertiary education at minimum NZQA Level 4 in a relevant field is required.

 

  • You will bring 2 - 3 years’ experience in project coordination or business administration, ideally within a People and Culture or HSW environment.

 

  • Proficiency using systems such as Microsoft Office, SharePoint, SAP or similar internal systems is important.

 

  • A HSW qualification, or study towards one, along with knowledge of New Zealand health and safety legislation and familiarity with health and safety software, would be advantageous.
