He angitūtanga: The opportunity

 

We’re looking for an experienced and highly organised Executive Assistant to support the Chief of Staff in the Mayoral Office. This is a busy and rewarding role where you’ll provide effective executive, administrative and secretarial support to the Chief of Staff — managing diaries, coordinating meetings, and preparing background material and correspondence. You’ll review and prioritise incoming communications, flag key actions, and make sure the Chief of Staff is always well-informed on priority issues.

 

You’ll also assist with the planning and coordination of diaries for the Mayor, Chief of Staff and senior leadership, ensuring meetings, appointments and engagements run smoothly. You’ll handle disruptions and issues as they arise, manage relationships with care, and maintain well-organised electronic and physical files.

You’ll be an experienced Executive or Personal Assistant who enjoys working in a fast-paced environment where no two days are the same. With five to seven years’ experience supporting senior leaders in a large or complex organisation, you’ll bring strong judgement, professionalism, and the ability to handle sensitive information with absolute discretion.

 

Highly organised and calm under pressure, you’ll have a knack for managing competing priorities while keeping things running smoothly. Your attention to detail, strong written and verbal communication skills, and confident use of Microsoft Office (particularly Outlook, Word and PowerPoint) mean you deliver work to a consistently high standard.
