He angitūtanga: The opportunity
Eke Panuku is looking for an Executive Assistant. This is an exciting opportunity as you will be exposed to executive and political stakeholders, while making a direct impact to Tāmaki Makaurau. 


You will provide high-quality administrative and secretarial support, managing diaries, handling correspondence, and ensuring that all documentation is prepared to a high standard. Your proactive approach and attention to detail will be key in coordinating meetings, managing official information requests, and resolving issues efficiently.

Dealing with high level, urgent and confidential issues will feature as part of your remit, which you’ll approach with a high level of integrity and professionalism.

Day-to-day you could expect to work on:

  • Complex diary management 
  • Coordinate meetings and events, including logistics and travel arrangements
  • Supporting financial processes including raising purchasing orders and liaising with suppliers
  • Document preparation
  • Build and maintain effective relationships with key stakeholders, both internally and externally

 

He kōrero mōu: About you
This role requires experience in similar EA positions, with a sound understanding of working with confidentiality and discretion, while remaining calm and agile when multitasking or responding to changing priorities.

You will be confident demonstrating initiative and a proactive approach to work, with strong judgement and decision-making capabilities. Additionally, successful relationship management will be second nature to you, across all channels.

We will be looking for specific experience with:

  • Qualification in office business management or related discipline; or equivalent experience in an Executive Assistant role
  • 5 to 7 years of experience in an executive assistant role
  • Minimum typing speed of 70 words per minute
  • Experience managing busy diaries and conflicting appointments
  • Understanding or experience in local government or a complex major organization
