He angitūtanga: The opportunity
You’ll be joining a fast-moving, collaborative environment where initiative, creativity, innovation and adaptability are highly valued.
You’ll provide excellence in senior administration and operational support, helping ensure the smooth and professional running of the business on behalf of the Directors and Senior Leadership Teams.
Working closely with senior leaders, you’ll manage workflows, coordinate priorities and support critical business services and projects. You’ll also work alongside other Business Services Leads to maximise organisational efficiency and support continuous improvement across systems and processes.
Key responsibilities

Provide effective senior office administration for the Directors and Senior Leadership Teams

Support the championing and embedding of team culture and values

Manage workloads to ensure deadlines are met to a high professional standard

Support task management, travel requests, procurement activities and purchase orders

Participate in and coordinate projects or initiatives, particularly those involving operational processes or business systems

Develop business reporting to inform process improvement

Build and maintain strong relationships across Tātaki Auckland Unlimited and Auckland Council

Support the integration and quality assurance of critical projects as required
He kōrero mōu: About you
You’re an experienced Executive Assistant or Business Support Professional with a strong track record supporting senior leaders in a complex organisation.
You bring:

Excellent time management and organisational skills, with strong attention to detail

The ability to manage conflicting demands and work under pressure

Strong interpersonal and relationship management skills, working with a diverse range of stakeholders to achieve shared outcomes

Sound judgement, problem-solving ability and analytical thinking
-
Experience supporting projects or contributing to process or system improvement
-
Discretion handling sensitive information with care

Resilience, adaptability and the ability to work in a fast-changing environment

Strong capability across Microsoft Office and organisational systems, including finance, procurement, risk, HR and collaboration tools such as SharePoint, Teams and Asana

Excellent technology skills, with experience using reporting and business systems to support operational efficiency and continuous improvement.
