He angitūtanga: The opportunity 
Come and be a part of our Corporate Support Services department helping support teams across Auckland Council. Our department’s aim is to support a positive employee workplace experience by providing services including high quality administration, PA support and services such as fleet, print and catering in a dynamic and fast changing environment!  We are in process of looking for multiple Personal Assistant and Business Liaison positions.

 

The purpose of the Personal Assistant/Business Liaison role is to provide outstanding business and administrative support to senior managers. The key responsibilities are to ensure the efficient use of a manager’s time through effective email and diary management, meeting minutes, coordination of team reporting etc whilst having a leading role in supporting the connection of Corporate Support Services within the business.  Strong computer skills, an ability to learn quickly and build relationships are crucial to success in the role.
Activities undertaken will change from time to time as the business needs change. Tasks include but are not limited to:
 

  • Proactive email and diary management
  • Producing various documents to agreed standards and confidentiality within timelines e.g. reports, agendas, presentations, minutes and newsletters
  • Prepare and provide support to the delivery of meetings
  • Support to senior managers on workplace technology and equipment requirements
  • Provide business relevant advice to senior managers
  • Connect Corporate Support Services and the business by providing ongoing feedback and ensuring consistent business performance throughout Council
  • Work collaboratively with internal and stakeholders to enhance the department, division and Council brand

With an eye for detail, excellent problem-solving skills and a confident approach to your work, your communication skills across all channels will be evidently outstanding, and you’ll demonstrate initiative and a proactive approach to work that’s supported by strong judgement and decision-making capabilities. You will need to have excellent rapport with our internal and external stakeholders. The ability to work in collaborative relationships, while providing effective support across the division and Managers is fundamental. Previous experience in a coordination or PA position preferred.  You’ll be an IT savvy professional who can manage/learn at a fast pace! Naturally, you are passionate about delivering a high standard of customer service.
